This Privacy Policy describes how PropFlow (“Company,” “we,” “us,” or “our”) collects, uses, and shares information in connection with the PropFlow platform and the AI-assisted real estate messaging services we provide on behalf of licensed real estate agents (“Agents”).

1. Information We Collect

We collect information that end users (“Leads”) provide directly, including:

Name, phone number, and email address submitted through lead capture forms
Property preferences, budget range, and timeline
Text message content exchanged with the AI agent
Appointment scheduling data

We also collect information automatically, including device identifiers, IP addresses, and usage data when Leads interact with our platform.

2. How We Use Your Information

We use collected information to:

Deliver AI-assisted real estate follow-up messages via SMS on behalf of the Agent
Qualify leads and match them with relevant property listings
Schedule and confirm appointments with the Agent
Improve the performance and accuracy of our AI systems
Comply with legal obligations and carrier requirements

3. SMS / Text Message Communications

By submitting your phone number through a lead capture form associated with one of our Agents, you consent to receive text messages from that Agent (powered by PropFlow's AI platform). Message frequency varies. Message and data rates may apply.

To opt out at any time, reply STOP to any message. To get help, reply HELP. You can also contact us directly at the address below.

We do not sell or share your phone number with unaffiliated third parties for their own marketing purposes.

4. Sharing of Information

We share information with:

Agents: The licensed real estate agent whose lead capture form you submitted
Service providers: Twilio (SMS delivery), Clerk (authentication), and cloud infrastructure providers, each bound by confidentiality agreements
Law enforcement: When required by law or to protect the rights, property, or safety of our users

We do not sell personal information.

5. Data Retention

We retain lead and message data for up to 24 months, or until an opt-out is received, whichever comes first. Agents may request deletion of their client data at any time.

6. Security

We implement industry-standard security measures including encryption in transit (TLS), access controls, and regular security reviews. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

7. Google User Data (Gmail & Google Calendar)

Agents may choose to connect their Google account to PropFlow. When an Agent grants access, PropFlow uses Google APIs to access the following Google user data:

Gmail messages (read): We scan the Agent's inbox solely to detect incoming real-estate lead inquiries (e.g. from Zillow, Realtor.com, Homes.com, or direct buyer emails) and to surface lead-related emails the Agent asks about. We do not read, surface, or process emails unrelated to the Agent's real-estate business purpose.
Gmail send/drafts: We compose and send emails from the Agent's address only at the Agent's direction or under follow-up rules the Agent has configured (e.g. drip campaigns the Agent created and approved).
Gmail settings (basic): Used only to support reliable delivery of the Agent's own lead emails (e.g. signature configuration).
Google Calendar: We read the Agent's calendar to include their day in their own briefings and to find open times, and we create events (e.g. showings) only at the Agent's direction.
Basic profile (email address): Used to identify which Google account is connected.

Limited Use disclosure: PropFlow's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

In line with Limited Use, PropFlow:

Does not sell Google user data, and does not use it for advertising of any kind;
Does not transfer Google user data to third parties except as necessary to provide or improve user-facing features of PropFlow (e.g. our cloud hosting provider and the AI model provider that processes a specific message at the Agent's request), for security purposes, or as required by law;
Does not use Google Workspace data to develop, improve, or train generalized artificial intelligence or machine-learning models;
Does not permit humans to read Google user data, except (a) with the Agent's affirmative agreement for specific data, (b) as necessary for security purposes such as abuse investigation, (c) to comply with applicable law, or (d) after aggregation and anonymization for internal operations.

Google account tokens are stored encrypted; Google user data is transmitted over TLS and retained only as long as needed to provide the features above. Agents can disconnect Google access at any time from their PropFlow portal or at myaccount.google.com/permissions, and may request deletion of stored Google-derived data by contacting us at the address below; we honor such requests within 30 days.

8. Children's Privacy

Our services are not directed to individuals under 18. We do not knowingly collect personal information from minors. If you believe we have collected information from a minor, please contact us immediately.

9. Your Rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or restrict processing of your personal data. To exercise these rights, contact us at the address below.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The updated version will be indicated by a revised “Last updated” date at the top of this page. Continued use of our services after changes constitutes acceptance of the updated policy.
